Common tasks

Learn how to do the things you will use most often across every module in Datar.

How data flows

Understanding how information connects across modules

Every action you take in Datar updates a single, unified data store. This means when you approve a request, update a task, or upload a file, everyone with access sees the change immediately—no manual syncing required.

Real-time

Changes appear instantly across all devices and modules. Your team always works with the latest information.

Connected

Actions in one module automatically update related items in others. Approve a purchase request and inventory updates.

Audited

Every change is logged with who, what, and when. Full history and audit trails are always available.

Pro tip: Use the activity feed in any module to see recent changes. Filter by person, date, or action type to track specific updates.

Starring favourites

Keep your most important items one click away

You can star any item in Datar — files, tasks, projects, requests — to add it to your favourites for quick access.

How to star

Click the star icon next to any item, or select an item and press the S key on your keyboard.

View favourites

Look for the "Starred" or "Favourites" section in any module to see all your starred items.

Remove a star

Click the star icon again to unstar an item. It will be removed from your favourites list.

Sharing items

Give your colleagues access to the items they need

Share files, projects, tasks, and other items with specific people or your team. You control exactly what each person can do.

Step 1: Open sharing

Select the item you want to share, then click the "Share" button. A dialog will appear where you can add people.

Step 2: Add people

Type the name or email of the person you want to share with. Select them from the suggestions that appear.

Step 3: Set permission

Choose what they can do: Viewer (see only), Commenter (view + comment), Editor (view + edit), or Admin (full access).

Step 4: Confirm

Click "Share" to confirm. The person will receive a notification that you shared something with them.

You can change or remove someone's access at any time by reopening the sharing dialog.

Comments and mentions

Discuss and collaborate right where the work happens

Add comments to any item to discuss it with your team. Use @mentions to get someone's attention — they will receive a notification.

Adding comments

Open any item and scroll to the comments section at the bottom. Type your message and click "Post".

@Mentioning people

Type @ followed by a person's name in your comment. Select them from the dropdown. They will receive a notification.

Reply threads

Click "Reply" on any comment to start a thread. This keeps related discussions organised.

Understanding approval workflows

How requests move through the approval process

Many items in Datar — expense requests, leave requests, timesheets, purchase orders — go through an approval process. Here is how it works:

1. Submit

You create and submit your request. Its status changes to "Pending" and it is sent to the right person for review.

2. Under review

Your manager or the assigned approver receives a notification and reviews your request.

3. Approved

If approved, you are notified and any follow-up actions happen automatically (e.g., leave balance updates).

3. Rejected

If rejected, you are notified with the reason. You can update your request and resubmit if needed.

You can check the status of any pending request at any time from the "My Requests" section.

Managing notifications

Stay up to date without having to check manually

Datar sends you notifications so you never miss something important. Here is what triggers notifications:

Someone approves or rejects your request

Someone @mentions you in a comment

A task is assigned to you

Someone shares an item with you

A deadline is approaching

Notifications are grouped by priority, so approvals and mentions appear first, and reminders can be bundled into daily or weekly digests.

Go to your profile settings to customise which notifications you receive. You can choose to receive notifications via email, in-app alerts, or both. You can also mute notifications for specific items if they become too noisy. If your org supports quiet hours, you can pause non-urgent alerts during evenings or weekends.
